Board Business

Welcome again to Caden and Jesse!

Alex has officially stepped down as a member of the Zimfest Board.

We expect Daniel to officially step down soon, but he still needs to edit the membership officer job description document.

Tendai will be leading meetings starting next month (February). Maria will write up tasks.

Financials (Heather/Claire)

Purchase credits for Cognito forms – Gary has taken care of this.

WA State annual report – Heather has taken care of this.

WA State L&I 4th quarter previous year report – Gary has taken care of this.

Board recruitment page update: Heather and Adrienne will meet to finalize this, then send to Larry Israel to update the website.

Still need a Membership Officer (Queen) – Claire suggests adding fund-raising to their duties. Caden is interested in the future, but not at this time. Jesse is also interested and open, but doesn’t have a background in those specific areas. Tendai suggests adding Jesse provisionally, while keeping Daniel on as support. Jesse accepts.

Stand-alone blog post for bi-annual festival announcement. Maria will write and send it to Larry.

New members have been added to Board Members page. Claire will take Alex’s name off.

Policy and Financial Decisions for Zimfest 2025

The Board reviewed and has approved the Zimfest Association Festival Policies for 2025. Mandy will fix the font size discrepancy.

Keep travel reimbursement max of $650? Yes.

Retain Zim Teacher Travel Fellowships? Yes.

Breaking news! Updated CWU Fees quote reduces conference services fees to 15% of total expenses from dining, facility rentals, labor, and lodging, less than the per person fees (and makes more sense!).

The Board reviewed, discussed, and made decisions on the Festival Costs Draft from Claire.

Claire and OC Updates

All positions on the OC now filled! The OC met for the first time last week.

Central Washington University (CWU) Sponsorship was approved by the provost for co-signing of B1 visa letters. Collaborative activities with CWU sponsoring departments may be forthcoming. Thanks to board members who offered their services!

Applications are open, Claire and Mark Keller are working on fast-tracking Zim Guest applications.

Discussions on logistics and programs underway with CWU; Zoom meeting next week.

Volunteer needs:

  • Urgent – need graphics person capable of working with winning artwork (Deb Dole had to back out), first up is Save the Date Cards. The Board will ask around. Job description available on request.
  • Upcoming local arrangements needs: Heather to help with some pieces.
  • Found volunteer (John Hatton) to research & arrange for Zimfest group rates at a local hotel/motel.

Idea from 2023 Post-fest Debriefing

Generate “Intro to Zimfest” video(s) following from survey responses about need for orientation for people new to the festival. This and other ideas are under discussion, please reach out or comment with your thoughts and ideas!
