Potential Board Member Update (Jesse, via email)

Jesse talked with her, and she is not interested at this time.

Zimfest Publicity Update (Maria, Claire)

Maria has been in touch with Kittitas County Chamber of Commerce, also local newspapers, and CWU radio station (waiting on replies from some).

As a result of Maria’s communication, Claire has had contact with local community music school (Jan Jaffe, director) who may be interested in volunteering/participating in Zimfest.

Promotional Zimfest video: Maria looking into a company in Ellensburg which does this, in case we want it. Zimfest 2023 slideshow is available on the website, you can get to it from a page that has a sidebar; click “Launch Zimfest 2023 Slideshow” to view.

At Zimfest registration desk, we want to have buttons/stickers or something for people to pick up: “I’M NEW”, “ASK ME”, “TEACHER”, “VOLUNTEER” Mandy will look into getting ribbons for everyone, in addition to the name badges.

Cash Management Plan for the Festival

The Board reviewed the Cash Management Plan for 2025. Adrienne has agreed to be in charge of the concert ticket table for the evening concerts; Gary will train her in use of the Zettle credit card reader. Board members need to sign up for shifts at the concert door.

Claire will write directions for people working at the concert door. Heather will write up language regarding donation requests.

Festival Insurance (Heather)

Insurance company has received our payment and the certificates have been forwarded to CWU.

Additional Pre-Zimfest Board Meeting

We have decided to add a short meeting before Zimfest to solidify the agenda for the Village Meeting and go over anything needed before Zimfest.

Festival Update (Claire)

All 4 remaining Zimbabweans coming from Africa have had their visas approved, Lino still waiting for passport back with his visa.

Registration and volunteer signups continuing apace; teachers/workshops team has made some enrollment adjustments, scheduled repeats of a couple of full workshops and added a new one. Waiting for Jake to update RegFox before announcing on the blog.

Arrangements for outdoor staging and canopies finally made but some questions remain unanswered and logistics not all confirmed. Loading Permits are needed for anyone wishing to drive on and unload from the pathway next to the outdoor stage space, including marketplace vendors.

Claire needs to turn attention to workshop room reservations and negotiating CWU’s system.

Victoria T. does not have time/bandwidth for providing sadza for ZimGuests this year, so Helen M-M suggested a braai in which the Zimbabwean men would do the cooking! Mark K. can provide a portable BBQ grill on Saturday, and we have implicit permission (i.e. we are not forbidden) to cook outside Kennedy Hall. Need volunteer cooks if this is going to take place.

Final draft of posters just sent this afternoon! Tee shirt/merchandiser is waiting for graphics files before orders can be placed. 

ZA Marimba Donation program, started by Margie Smith of San Juan Island, needs a new leader as she is retiring. A new home is also needed for the set (and donated pair of congas!) she brings from SJI. Caden is interested in taking over this leadership. A newly-donated old marimba set from Seattle has been offered on behalf of Zimfest to Caden for the Bellingham Community School. If they are in tune, Caden will be able to bring them to Zimfest and will contact Marimba Wrangler Lucas.
