Check-Ins from Last Month (All)

The Board has approved of Gary’s idea to switch to using the Paypal “Zettle” device onsite rather than Square, and Gary will purchase one for us. Claire will continue communicating with him.

The board reviewed the revised version of the Welcome to Zimfest draft and has approved of this as a final draft. Mandy will make sure it is available at the registration desk.

Jesse to report back next month about the potential new board member.

Treasurer Report

Festival liability insurance policy is pretty much ready to go when the time comes.

Coeus Global background checks & payment are going smoothly.

Benevity donation and use of funds declaration have been processed.

Claire has signed the CWU Letter of Agreement and attempted a timely initial 10% deposit payment, but the credit card method CWU gave didn’t work. She and Heather are continuing to work with CWU to straighten it out, and don’t expect this to be an issue. This payment will lock us into the LoA.

Festival Update (CJ)

Registration opened May 1 with a few resolvable glitches. Many new memberships, lots of registrations right away, marimba workshops filling up. At this point, no workshop is in danger of being cancelled due to low registration! Will blog to drum up interest in presentations and other instruments.

Zimbabwean guest Innocent Mutero was denied his visa in South Africa. Mike thinks that he needs to apply in Zimbabwe next time. We have replaced his workshops, making changes in RegFox and the portal.

The rest of the Zimbabweans in Zimbabwe (Anesu N., Ndomu C., Bezil M. and Lino P.) have managed to get their visa interviews rescheduled to late May and early June (whew!). Mike and Anesu have been advising people through this process.

Our volunteer thought he had set up the group discount deal at the Red Lion, but somehow failed to send them a contract by their deadline. He had originally done a lot of research to find possible places, and this was the only likely one. Because of this, and the additional onsite housing we were able to secure, we are dropping this idea.

Still need to nail down outdoor stage requirements and workshop rooms when their availability is known by CWU.

Volunteers: Still no volunteer help for local arrangements and publicity, and need an on-site dedicated workshop support assistant. Claire will send Adrienne the job description.
