Membership Officer/Queen (Jesse) Duties: Jesse met with Jake Roberts to learn about the RegFox membership system. Daniel and Jake are willing to talk her through things, so she feels confident moving forward with their help. Before the Village Meeting (onsite at Zimfest) Jesse will need to download the report and prepare a report on the year’s membership. In June 2025 send the membership list (the page on the website is up to date as of July 2024) and do a push for membership.
Coeus Background Checks: Heather now is the admin, but Janis Weeks is still receiving some of the communication. Heather is planning to contact Coeus for help. Jesse has completed and passed her background check and Caden has submitted the form. Claire will send Mandy a link to the spreadsheet tracking who has passed a check. Heather will add instructions for Canadian Coeus background checks to the background check folder in the Drive.
Caden’s friend Annika G. was able to generate graphic files for downloadable Save the Date flyer and website/FB banners. Old friend Rachel Edson will have time to work on poster and tee shirts.
Board Recruiting (All)
Tendai may have a lead on a new Board member. Jesse will reach out to follow up.
Covid Procedure (All)
The Board approves the reviewed policy. Maria will be the designated person to enforce teachers’ decisions regarding masking in their workshops.
Welcome to Zimfest and Blessing Update
Blessing Chimanga has agreed to work on an Introduction to Zimfest video if we clarify and give him specific directions.
Blessing declines local (Ellensburg) publicity and outreach as it is not in his area of expertise, but is happy to work on a 2025 Promo video once we confirm concert lineups. Would love to MC a Zimfest concert.
Welcome to Zimfest
The board continues to brainstorm the topic of “Welcome to Zimfest” literature or videos, and welcomes feedback.
Zimfest Financials (Heather)
We expected a loss this year since there was no festival, and we came in close to projected with a net income of -6,262.85.
No plan to make a 2025 budget estimate as CWU logistics and financials keep changing.
2025 Festival Update (Claire)
Signed B1 Letters of invitation from CWU International Studies Director have been sent to those in most urgent need.
Applications have closed and the Teachers/Workshops team is working on acceptances/denials, workshop tweaking and schedule-building. Concert scheduling comes afterwards.
Marketplace and Vendor pages now on website; vendor Booth applications scheduled to open April.
Claire is working on a Letter of Agreement (contract) with Conference Services. Claire clarified needs from the board and/or treasurer in the coming months.
